Team & Permissions Setup
Manage your organization by adding team members, adjusting roles, and controlling who has access to different parts of your dashboard.
Adding a Team Member
Navigation Steps
To add a new member to your workspace, follow these navigational steps on your dashboard:
- Go to the main navigation menu in the sidebar.
- Select and click on Settings.
- Click on Team & Permissions.
- Click the "Add Member" button to launch the setup wizard.
Add Member Wizard (3-Step Flow)
Once the wizard opens, complete the setup across these three easy steps:
- 1. Basic Info: Enter the user's Full Name, Username, Email, Job Title, a secure password (minimum 8 characters), and select their general Access Level.
- 2. Permissions: Enable or disable access to specific dashboard modules (such as Inbox, Bookings, Clients Directory, and Services) using the toggles.
- 3. Review: Verify all identity and module permissions on the summary screen, then click "Confirm & Save" to activate the account.
Access Levels: Admin vs. Member
Admin (Full Access)
Has total access to read, write, and view all settings and modules across the entire dashboard.
⚠️ Security Recommendation: Only assign the Admin role to highly trusted individuals who require complete control.
Member (Restricted Access)
Access is limited strictly to the modules enabled for them during setup.
Additionally, all system log details (such as Created At, Updated At, Created By, and Updated By timestamps and users) are hidden from their view.
Editing a Member
Editing Steps
To modify an existing team member's details or access roles, use the setup wizard:
- Go to the main navigation menu in the sidebar.
- Select and click on Settings, then click Team & Permissions.
- Locate the member in the list and click the Pencil (Edit) icon.
- The edit wizard opens, pre-filled with the current settings. Modify the values and save.
Deactivation & Security Logs
Anyone with access to this section can perform any operation, whether it is adding, deleting, editing, or activating a deactivated account.
Instant Session Lockout: Deactivating a user immediately terminates all of their active sessions and logs them out of all devices.
Audit Logging: For security and administrative audits, the system automatically records the identity of the administrator who performed the deactivation or modified any account credentials (including password changes) along with a timestamp.
⚠️ Strict Account Deletion Constraint
You can only permanently delete a member's account if they have not performed any operations or created any services within the system.
If they have active resources or historical operations associated with their account, the database relationship prevents deletion. To resolve this:
- Reassign or delete their associated services using another administrator account first.
- Alternatively, deactivate their account status (Active ➔ Inactive) to block all access permanently while preserving system data integrity.
Team & Permissions Errors
Common Errors During Management
This message is shown if you attempt to open settings or perform actions that are restricted to higher permissions or specific user roles.
Appears when trying to add or update a member using an email address or username that is already registered on AuraDash.
For security, you cannot deactivate, ban, or delete your own active profile from the settings panel.
You cannot delete, deactivate, or demote the last remaining administrator. You must promote another member to Administrator first.
Appears if you try to delete a member who has already created resources (like articles, bookings, or services) in the system. You must deactivate their account instead.
Only existing administrators can modify or edit other administrator accounts. Standard team members cannot edit admin profiles.
